An online SCIS order file is a file that is created while you're logged into SCISWeb and after entering information from a resource that is then matched against existing information in the cataloging database. This order file is then saved as a usmarc.dat file onto your computer hard drive or a floppy disk. It can then be imported into your library software system.
- Log onto SCISWeb with your username and password.
- From the SCIS Customer Centre screen, click on the SCISWeb button.
- From the SCISWeb screen, click on Create orders.
- On the Create Orders screen, where it says Enter orders here, wand in, with the barcode scanner, or type in the ISBN of each resource. Wand in the ISBN for each resource in your pile of resources.
- Click Process order. The order is processed when the following information pops up in the Orders Table below: date and time file was created, with Order file, usmarc.dat and results alongside the time and date stamp.
- To check how many ISBNs were matched up, or not matched, with records from the database, click on results in the Orders Table.
- Matched resources appear with information about the resource, such as SCIS number, title, etc. You do not need to do anything about this information - it is there to help you identify the resources that have been matched.
- Unmatched resources are listed by ISBN only. At this point, or at a later time, you would choose to search the SCIS OPAC by the title of the resource to make certain that there is no record available. Sometimes, there may be a catalogue record for the resource, but lacking an ISBN, in which case you create an online order file using the SCIS record number. If no record is available for the resource, then send the resource in for cataloguing to the Education Queensland SCIS Unit's free cataloguing service.
- To download the processed order file:
- The file must first be saved, either onto C drive, the harddrive of your computer, onto a floppy disc, usually A drive, or an external storage device, such as a USB key.
- Click on usmarc.dat in the Orders Table.
- A pop up box asks you whether or not you wish to save this file, click Save.
- Another pop box gives you the option of saving it to a drive on your computer. Choose where you want to store this file. Remember to insert the floppy disc if using A drive. The filename usmarc.dat is sufficient to identify the file. Click Save and the file will be downloaded. It will overwrite any previous usmarc.dat files stored on your drive or disk.
