If the SCIS database does not have a record for a particular resource, schools
in Queensland may submit the item to the SCIS Unit of Library Services for cataloguing onto the national database.
- The SCIS database must have been searched, and no matching record
found. Consult the SCIS Manual (new window) for hints
on cataloguing workflows.
- Resources submitted must meet the following criteria:
- Published within the last two years (Cataloguing of older material
is by negotiation, and is only undertaken in exceptional circumstances).
- Content supports the P-12 curriculum, or is teacher reference or teacher
professional development material applicable to the P-12 environment.
- Resources are accepted in all formats, including websites, books,
kits, videos, computer software, CD-ROMS, sound cassettes, DVDs, pictures,
charts, games, and realia.
- Resources may be fiction or non-fiction in any language taught in
a Queensland school.
- Resources not readily available to other schools, and ephemeral material
are excluded.

- Only resources that meet the criteria for inclusion in the SCIS database
are accepted for cataloguing. See Identifying resources for
cataloguing by SCIS Unit.
- Only original items may be sent in for cataloguing. ISBNs or photocopies
of title pages or other source information are not acceptable.
- Taped-off-air videorecordings may be submitted for cataloguing, providing
the program in its entirety, including opening and closing credits, has
been recorded.
- Prior arrangements must be made with the EQ SCIS Unit.
The purpose of this is to:
- Ensure safe arrival of resources and planning of workflows
- Negotiate turnaround times. A turnaround time of four weeks for the
return of items is a general guideline. Every effort is made to complete
cataloguing within two weeks, but this will depend upon the number of
items submitted for cataloguing and cataloguing commitments to other
schools.
- Arrange for delivery of resources. For government schools, Library Services will
meet the cost both ways, providing arrangements are made in advance.
For non-government schools the school
is responsible for delivery. The SCIS Unit will pay return postage.
The requesting school may opt to arrange collection of materials after
cataloguing.
- A list of all items, by title and ISBN (if available) on the
SCIS cataloguing request form(new window

- Catalogued items will be returned with a printout of the relevant SCIS
cataloguing record.
- Downloading of the record from the SCIS database and end processing of
the item are school responsibilities. Help with creating SCIS orders is
