Will OneSchool Release Three provide the same functionality as SMS?

Yes, OneSchool Release Three will enable Business Service Managers and support staff to perform the same processes as they did in SMS with two exceptions: Workplace Health and Safety, and Professional Development. Workplace, Health and Safety will be recorded in the Department's MyHR solution. Schools will receive information in the future from the Department's HR branch around the management and recording of Professional Development.
Release Three has refined and modernised many of the existing business processes. Greater integration of data and the automation of manual aspects of a number of processes will benefit users.
All Queensland state schools will use OneSchool Release Three functionality when it is deployed in 2011. All school, regional and corporate reporting and school business processes (including student, finance, asset, etc.) will be performed directly in OneSchool when it is deployed.
The SMS Decommissioning Project is developing an archive database through which schools will be able to view and run reports from the archived SMS data. The SMS Decommissioning Project will contact schools prior to their OneSchool Release Three deployment to provide them with further information about their processes.
Timelines and more specific information will be provided in 2011. The data cleansing activities performed in SMS during 2010 will continue in 2011. These activities will ensure the specific data sets that will be imported from SMS into OneSchool will be accurate, current and consistently recorded across schools.
Data Validation Reports were made available to all schools via OneSchool from 29 March 2010. These reports identify inaccurate or omitted data in the school's SMS which is to be corrected. It is essential schools amend any errors identified in the Student and Staff, and Finance validation reports to ensure the data in SMS is accurate and complete
OneSchool Release Three will be made available to all state schools in 2011. Between 8 and 19 November 2010, BSMs and Administrative Officers were trained to use the new functionality. Each training workshop was three days in length.
As with other OneSchool releases, help, training and support materials are being developed during Release Three implementation and made available from within the application itself.
In Term 4, 2010, a special Release Three training environment was provided to schools to support the Term 4 training workshops. From the commencement of Term 2, 2011, the existing OneSchool Training environment will incorporate Release Three modules, thus providing schools with a complete OneSchool experience in the training environment. All users will be able to train, practice and explore Release Three functionality in the Training environment.
As with existing OneSchool functionality, a user's access level restricts what they can see and do in the application. A user may be able to record data in one module in OneSchool while another user with different access only may be able to view the data. Teachers will be able to access the relevant Release Three functionality and information they need to perform their roles and responsibilities in the school. Depending on an individual school's processes and expectations, teachers may be required to record attendance using the online roll marking module or may be granted the ability to process a requisition which will then be work flowed for approval within OneSchool.
Access levels are assigned by the principal at each school, Regional Directors for regional staff members and Assistant Director-Generals for corporate personnel. Staff members should be granted access only to the functionality and information they need to perform their role at the school, or regional or corporate office.
The school enrolment officer will perform a state wide search to locate a student who has previously been enrolled in a Queensland state school. On locating the student, the enrolment officer can access limited information on the student to confirm the student's identity and enrol them without having to recreate the student's record. Some data may need to be updated on enrolment. Creating a new record is only necessary on the student's initial enrolment at any Queensland state school.
It is a school-based decision as to whether teachers are to mark their class roll in OneSchool. Schools may choose to continue with their existing processes, however, student absences must be recorded in OneSchool.
A number of schools use third party applications to record student attendance and to notify parents of student absences. OneSchool Release Three is not providing functionality to notify parents of student absences via SMS messaging, etc. A school may choose to continue using a third party application and import the absence data into OneSchool.
All attendance and library system vendors who currently supply Queensland state schools were contacted in 2010. Each was provided with the interface specification to enable data exchanges with the OneSchool application to ensure current school processes will be able to be maintained. There will be some processes schools will have to perform in preparation for deployment. Schools should contact their vendors directly to obtain information on what is needed to ensure continued use of their third party systems.
Departmental staff demographic information and incumbency details will be managed by the Department's MyHR application and will be uploaded to be viewed in OneSchool. The MyHR system will be the point of truth about departmental staff information. Non departmental staff details will need to be recorded in OneSchool.
The Department's HR branch has developed a Workplace, Health and Safety solution known as MyHR WH&S. This application will be used across the entire department and will provide functionality to meet school and corporate requirements. The Workplace, Health and Safety application's deployment will parallel the deployment of OneSchool Release Three in 2011. Schools will be contacted by MyHR about the Workplace, Health and Saftey system prior to their deployment.
The Department is continuing to investigate opportunities for a corporate solution to record professional development for all employees. In the short term, schools are asked to use local systems to maintain professional development records for information that is required at the local level.
