About OnePortal

What is OnePortal?

OnePortal is the department’s replacement for EdInfo, although it offers more than any intranet can.

OnePortal will be a 24-hour anywhere, any time secure integrated site offering a range of electronic information, services and resources to departmental and school users.

OnePortal will host all corporate data, but you can tailor the information you see to your role. You will be able to share knowledge and experience with your state-wide colleagues, access corporate directories, calendars, bulletins and applications.

How will OnePortal benefit me?

Search People/Schools

OnePortal allows you to search for text, files, DETA website pages or people by using the OnePortal search box. When searching you can choose to search across all sites, a particular site or just people. The search results page will then display the number of results that were returned for your search.

This new and improved search engine provides faster results as well as an advanced search option.

Collaborate with members of your team, branch or other corporate and
school based staff across the department

You can create team sites to host wikis, discussion boards, alerts, announcements and document libraries relevant to a project or branch. Team sites enable collaboration between staff, greater sharing of knowledge, better access to information and resources, and enhanced productivity.

Will I be able to access EdInfo?

In 2009, EdInfo will be decommissioned. OnePortal will be the Department’s new intranet. Once your group has been brought online, OnePortal will be your default homepage when you launch Internet Explorer.

Will I be able to post departmental information on OnePortal?

Yes. Those who are currently authors or approvers of information to EdInfo, or who are newly nominated to fulfill this role, will be provided with training on how to publish content in OnePortal. Training dates will be communicated in the near future.

My Sites

What is a My Site?

My Site will become your personal view of the DETA world. It is a central location for you to view and manage your documents, links, colleagues, tasks, calendars and other personal information. You can also receive relevant bulletins and incorporate your inbox, contacts, calendar and tasks through Outlook Web Access.

Through My Site, others can learn more about you and your areas of expertise, including your current projects and colleague relationships.

Can I store and access documents in My Site?

There are two different libraries on My Site - Personal and Shared.

The Personal documents library is where you can store documents that only you have access to. However, you can change permissions to share a document.

The Shared documents library is where you can place documents that you want to let others read, eg. your colleagues. By default, all users have 'read' permissions on this library.

Is there a limit to what I can store in My Site?

Yes, the entire My Site only has a 20MB limit.

What is My Home in My Site?

The My Home page collects the information that is important to you as an individual. It is related to the areas of your work life that you wish to monitor on a daily basis. Consider this your personal dashboard.

What is My Profile in My Site?

The My Profile page presents information about your role and interests that you authorise your colleagues and the rest of the organisation to view. Some information is automatically populated from the Active Directory and the Phone Directory, however, you can add information as well.

Can I edit My Profile in My Site?

At any time on the My Profile page of your My Site, you can edit your personal details, such as contact numbers, work days/hours, skills etc. You can also choose who has permission to see the information in the other fields. However, some fields have the default permissions set to ‘Everyone’ and cannot be changed.

Can I manage my colleagues in My Site?

Within My Site you can add, edit, delete, search for or group colleagues according to their branch or project. When you first set up your My Site, the colleagues shown are suggested through the information OnePortal accesses from corporate databases and populated from your organisational hierarchy.

What are Links in My Site?

Links contain the websites you use and the team sites you are a member of. You can choose which website links are listed here, and whether or not these links can be viewed by your colleagues. Links can be edited or deleted at any time.

Do I have to insert a profile picture in My Site?

While it is not compulsory to upload a profile picture, it is recommended so corporate staff can more easily identify you, particularly if you are only known by name.

Can I protect my private information in My Site?

Yes. When creating/editing your profile ensure you set the relevant user group that can view each section of information.

Team Sites

What is a Team Site?

A team site is an area where teams can organise, author and share information. Features include calendars, task scheduling, discussion boards, surveys and wikis, workflows, alerts, announcements and documents libraries to share and collaborate on documents with members of the team site.

What is a Document Library?

Document libraries provide a central location to store team documents, enabling editing in a managed environment using version control. You can continue to use G drive to archive documents while official departmental records should still be TRIMed.

Can I TRIM a document in OnePortal?

Yes. In the document library, click on the document you want to TRIM. Choose Save as ... then TRIM in the normal manner.

Will OnePortal replace G Drive or TRIM?

No. OnePortal provides many useful tools to work with and collaborate on documents. Version control, draft and published versions, approval processes, built-in workflows, a local recycle bin and other features make OnePortal a useful place to work on and share documents. However, G Drive still offers more storage, itemised restore options and accessibility for working with large file numbers and sizes. G Drive can also be accessed directly from within a team site. Where required, documents should still be saved in TRIM by the usual process.
