Manage documents and images in Media Manager

Objective:

  1. Log in as administrator

Log into Joomla as an administrator by going to:
    http://yourschool.eq.edu.au/wcms/administrator
or by clicking on the Administrator link in your menu.

  2. Open Media Manger

Go to Site > Media Manager. Click to open the /stories folder under Folders on the left.

    Media Manager

All your content should be created in the stories folder.

Browse to these files to embed into a page or link to a document.

Note:this is the top browse location in the Media Manager used when browsing to insert/embed an image or to link to a document.

This is accessed when editing a web article (web page) using the content pane tool-bar Insert/Edit Image or Insert/Edit Link.

  3. Create folders to store and organise files

Type the folder name in the entry field (top-right) and press Create Folder (button).

    Create folder

The new folder is created and can be clicked on to open and upload files.

File naming limitations of web servers

Folder and file names should be:

    • short (no more than 12-15 characters).
    • all lower case (most web-servers are case sensitive...).
    • no more that 2 words (one is preferred as a space, hyphen or underscore "wrap" down to the next level and can push the "trash can" (delete) icon out of view).
    • names separated by hyphens only (spaces and underscores are hard to see in the URL address bar).

    Folder examples:

/documents (general school documents - not your official reports).

/newsletters (upload you newsletters here to link to from your Newsletter page content pane).

/swimming-carnival (this years carnival images - Note: policies about privacy requirements and consent sign-off should be observed).

/virtual-tour (slide show of images walking visitors around your school).

/other-folders (any other folders used to organise 5-50 related files - images or documents).

    School Annual Report

NOTE: Your official school reports should be uploaded as per the instructions linked below.
  4. Upload your content or files

    1. Open the folder you wish to upload to (click on left menu link or right view pane folder button).

    2. Using the bottom Browse button, navigate to the file on your C: drive, My Documents, etc. Select the file (double-click or click the file and then the Open button).

    3. Once selected, (path to the file is in the Browse path box), click the Start Upload button.

      Upload file

    4. Repeat for all files to be uploaded to this folder.
    5. To navigate back to the folder above, use the folder up button up button to back up one level.

    6. Navigate directly to another folder to upload content using the left Folders tree.

      Upload complete

    7. To toggle the way the right panel displays, click on Thumbnail View or Detail View (viewed above).

When editing content in a web Article, you should now be able to use the toolbar Insert/Edit Image button to browse to the stories folder.

Next open the folder you created and uploaded images to it, and select an image which will be inserted/embedded in to the page.
