Publishing school newsletters

Objective:

Note 1: Before uploading a newsletter, rename it to ensure the name is lower case with no spaces. Use only letters, numbers and hyphens.

Note 2: Before uploading a newsletter, optimise the embedded images. Both MS Word and Adobe Acrobat have tools for reducing the file size.

Option 1: Remository

  1. Create a new container in Remository called Newsletters as described in the tutorial Manage containers in Remository.
  2. Upload newsletters as described in the tutorial Remository files. See notes above about file names and sizes.
  3. Create a menu item that links to your Newsletters container as described in tutorial Linking to Remository content.

You will now have a menu item that leads directly to your newsletters. Further newsletters can be added by repeating step 2.

Option 2: Media Manager

Creating the newsletters folder

  1. Log into Joomla as an administrator by going to http://yourschool.eq.edu.au/wcms/administrator or by clicking on the Administrator link on the Main Menu.
  2. Go to Site > Media Manager.
  3. Create a new newsletters folder.
  4. Click your newsletters folder to open it.
  5. Upload your newsletters. See notes above about file names and sizes.

Creating a newsletters index page

  1. Go to Content > Article Manager.
  2. From the dropdown list select Section: Newsletters, Category: Newsletters.
  3. Click New (top right).
  4. Ensure your default Text Editor is Joomla FCK. See tutorial Changing the default text editor for more information.
  5. Enter Title: Newsletters.
  6. In the text editor box, enter some link text e.g. January 15.
  7. Select the link text then click the hyperlink icon.

  8. In the new box that opens, select Browse Server.

  9. In the file browser box that opens, select "Media" from the dropdown (top left).

  10. Navigate to the newsletters folder you created in the steps above.
  11. Select the newsletter you wish to link to.
  12. Click OK.
  13. In the article manager, click save (or apply if you wish to repeat the process).

Linking your Newsletter Index to the menu

  1. Go to Menus > Quicklinks (or Main Menu).
  2. Unpublish any existing Newsletter menu items (click on the green tick).
  3. Click Articles.
  4. Click Article Layout.

  5. Enter Title: Newsletters.
  6. Under Parameters(Basic) click Select.

  7. In the new box that opens, select Section: Newsletters, Category: Newsletters.
  8. Select the Newsletters index page you created in steps above.

  9. Click Save.

You will now have a menu item that links directly to a list of newsletter links. When you add another newsletter, you will have to upload the newsletter and update the newsletter index page.
