Information about your child in QParents has been collected through school processes (such as enrolment) and/or recorded by teachers and school staff in OneSchool.
Your child's school chooses which information to share in QParents. If some of the following features are unavailable to you, contact the school to express your interest in using this function.
Editing student details

Only a QParents Account Owner (QPAO) is able to update a child's details in QParents by following these steps.
- Select the student's name from your student dashboard.
- Select
manage student details under the student's name at the top of the page.
- Review the details that are currently recorded.
- Select the
edit button if you need to edit any details.
- Make your changes.
- Select the
submit button.
The information you have updated is sent to your child's school for review and approval before your child's record is updated. Until the changes have been reviewed and actioned by the school, the existing details will still appear. You will receive emails from QParents confirming that you have submitted a change request and then advising you of the outcome of the school's review.
Adding or removing a medical condition

Only a QPAO is able to update a student's medical conditions in QParents by following these steps.
- Select the student's name from your student dashboard.
- Select
manage student details under the student's name at the top of the page.
- Select the
manage medical conditions button.
- Review the medical conditions that are currently recorded for the student.
Add a medical condition
- Select the
add medical condition button.
- Select the medical condition from the drop-down list.
- Select the
submit button.
Note: More than 1 medical condition can be added before selecting
submit.
Remove a medical condition
- Select the checkbox next to the medical condition to be removed.
- This will present a blank box.
- Select the
submit button.
The information you have updated is sent to your child's school for review and approval before your child's record is updated. Until the changes have been approved, any existing medical conditions will still appear. You will receive emails from QParents confirming that you have submitted a request for a change and then advising you of the outcome of the school's review.
If the medical condition requires a management plan or other details to be recorded at the school, please contact the school directly to add this to the information submitted through QParents.
Adding or removing a profile photo
You can choose to add a photo of your child to QParents. This may be a personal photo uploaded from your own device or your child's school photo if your child's school has made this available. Personal photos you upload will only be seen by you and not the school.
Add a photo of your child by following these steps.
- Select the photo placeholder icon next to the student's name on the student dashboard.
- You will be presented with 3 options:
no photo (go to step 3),
school photo (go to step 4) or
upload your own photo (go to step 5).
- If you do not want to add a photo, select
no photo and then select
next. No photo will be added.
- If you would like to use the school photo, select the
school photo button and select
next. Follow the prompts to accept the photo.
- If you would like to upload your own photo, select the
upload a photo button and then select
next. Select the
select photo button and choose the photo you want to use from the files on your device. Select
accept to use the photo you have chosen.
You can change your child's photo or remove it at any time.

Attendance and absence
You can view your child's attendance information, submit reasons for previous absences and notify your child's school of future absences through QParents. Attendance information is displayed for the current calendar year only.
There are 2 places you can view and manage student attendance information.
The 'absences' tile on your QParents home screen
The 'absences' tile on your QParents home screen provides you a snapshot number of unexplained past absences and the number of recorded future absences for the students you have linked to your QParents account.
To notify the school/s of any new absences for the student/s, select
notify absences and navigate to the future absences form. This screen allows you to submit absences for any of your students in the 1 transaction. You can also submit multiple absences for different dates in the 1 transaction.
Complete the required detail and select
submit. The details will be sent to the school to review and you will receive an email notification once the school has confirmed the absence detail.

The 'attendance' screen within the individual student profile
Within the individual student profile, select
attendance. This screen displays absence history information for your child for the current calendar year. From this screen, you can submit reasons for unexplained past absences or notify the school of new absences for the student by completing the required detail and selecting
submit. The details will be sent to the school to review and you will receive an email notification once the school has confirmed the absence detail.

Submitting a reason for a past absence
You can submit reasons for past absences through QParents.
The
absences tile on your QParents home screen will display a snapshot of the number of unexplained absences that require a reason to be submitted.
To submit a reason for a past absence, follow the steps below.
- Navigate to the
attendance screen within the individual student profile.
- Scroll to the bottom of the page where the absence details table is displayed. Past absences that require a reason will display a blue box with an exclamation mark (!).
- Select the drop-down arrow next to the absence and select
submit a reason.
- Enter the reason and select
submit. The details will be sent to your child's school to review and you will receive an email notification once the school has confirmed the absence detail.
I submitted an absence but my child's school still contacted me to tell me my child was away
Once you notify your child's school of an absence through QParents, the information is sent to the school to review and confirm the absence detail in OneSchool.
You will receive an email notification confirming the absence was successfully submitted and an email notification once the school has confirmed the absence detail.
If the school has not yet reviewed absence information submitted through QParents, it is possible that the school may alert you of your child's absence. Contact the school to advise the absence information has been submitted through QParents.
Submitted absence does not appear in my child's attendance list
Once you notify your child's school of an absence through QParents, the information is sent to the school to review and confirm the absence detail in OneSchool.
You will receive an email notification confirming the absence was successfully submitted and an email notification once the school has confirmed the absence detail. Once the absence is confirmed by the school, the absence will appear in your child's attendance list.
Contact your child's school if you have submitted an absence and have not received an email notification that the school has confirmed the absence detail.

Behaviour

Behaviour record
The behaviour screen displays limited detail of behaviour records, including the date, category and type of behaviour event. Please contact your child's school if you need further information or have questions about your child's behaviour record.
Payments

You can view invoices with outstanding payments as well as details of paid invoices and receipts for your child on the payments screen within the individual student profile.
You can also make online payments against outstanding invoices with Visa or MasterCard. These payments are processed through the Commonwealth Bank's BPOINT facility. It is possible to make partial payments or to pay multiple invoices for a student at the same time.
Select the
to pay checkbox next to any invoice to make a payment.
Note: If you are viewing the payments screen within the combined student view (accessed through the payments tile on your home screen), select the student’s name to navigate to the individual student profile where you can make a payment.
My child's invoice or payment history information is incorrect or needs to be updated
Please contact your child's school if your child's invoice or payment history information is incorrect.
I cannot access invoices or payment history for my child
Your child's school chooses which information to share in QParents. If the payments functionality displays as 'feature unavailable', please contact the school to express your interest in using this function.
If the payments feature is available but you cannot access invoices or payment history for your child, this may be due to the set-up of your details in OneSchool. Only parents who have been assigned financial responsibility for their child in OneSchool will see payment information in QParents.
Please contact your child's school if you would like to be able to view and make payments for your child in QParents.
Upcoming events
You can access a list of upcoming events for your child through QParents.
The
upcoming events tile on your home screen provides you a snapshot of the number of upcoming events recorded for the students you have linked to your account. Select
view all to access the upcoming events. The upcoming events can also be filtered by event type, student, school and dates.
Events are organised into 4 categories.
- Exams (E) – any exam dates upcoming for the student
- Assessments (A) – any dates where an assessment is due for the student
- Excursions (X) – any planned school excursions for the student
- School events (V) – any school events that involve the student. These may also include events (such as upcoming public holidays).
You can use the filters on this screen to access events for a single student. Alternatively, events specific to a student will display on their individual student profile.

Academic reports
Most schools will make academic reports available to view in QParents as soon as they have finalised their school processes. Please contact the school if you would like to know when your child's academic report will be available.
If your child's school has set up academic reports to display, limited detail of recent academic report results will display on-screen. Your child's academic report results can be viewed on-screen or downloaded as a PDF. To view detailed academic report results, select the link to download the PDF.
- Navigate to the
reports screen on the student profile page.
- You can access an archive of academic reports from previous years by selecting the
report archive option at the bottom of the screen and following the prompts.

Downloading, viewing and printing documents
QParents provides the convenience of downloading and printing (or saving) documents including:
- student report cards (in your
reports section)
- student timetables (under
timetable)
- exam timetables and assessment planners (under your
downloads).
All documents are downloaded as a PDF file, which can be viewed in Adobe Reader or a compatible application. Adobe Reader can be downloaded free-of-charge from the
Adobe website. Other compatible readers can be downloaded from either the Apple App Store or Google Play Store for app users.
Exams and assessments
Details of your child's assessment schedules and exam timetables can be downloaded as a PDF.
Navigate to the
downloads section on the student profile page.
If your child's school has set up assessment schedules and/or exam timetables to display, document links will appear in this section. Select the link to download the PDF. Refer to
downloading, viewing and printing documents for further information.
Exam and assessment dates may also display on the upcoming events calendar.
