Queensland state schools use a range of digital systems and services to support student learning and streamline school operations.

Every day, teachers use digital services with students to deliver curriculum, support learning activities and assessment, enable class collaboration, and to create and publish class work.

Schools also use digital services to support core schooling functions, school administration and communicate with parents.

Departmental core digital systems

Departmental core digital systems are owned, managed or contracted by the department. They provide functions that are necessary for the department to meet its statutory obligations and deliver and administer state education services, including teaching, learning, student management, school administration, communication and information management.

These services do not require the department to obtain consent before they are used. Consent cannot be withdrawn and student personal information cannot be removed from these services.

Approved online services

Queensland state schools also use a variety of third-party online services to provide education or educational support to students and support the effective management of state schools.

To support student access to some online services, personal information may be required to register an account, for example, the student's name, email address and school data. From 25 October 2026, schools can use and disclose relevant personal information about students to approved online services without requiring individual consent. Where an online service requires the disclosure of sensitive information, valid consent will still be required before the service can be used.

Enabled by legislative changes to the Education (General Provisions) Act 2006 (Qld), the new framework reduces administrative burden for schools and families while maintaining privacy and security safeguards.

Approved online services are assessed by appropriately qualified departmental employees against a national framework covering privacy, online security and other requirements under section 426A before they can be approved for use in Queensland state schools.

Parents and independent students have the right to opt out of using approved online services, in accordance with the process outlined in the obtaining and managing student and individual consent procedure.

Where an online service requires the disclosure of sensitive information, valid consent will still be required before the service can be used.

List of approved online services

Services approved as approved online services under section 426A of the Education (General Provisions) Act 2006 (Qld) will be published on this page when the approved online services framework commences.
